Every shop eventually gets a return or refund request, and how it's handled affects both that specific customer relationship and, indirectly, your shop's public reviews and rating. A calm, policy-based response tends to resolve these faster and with less damage than an emotional or inconsistent one.
Have a written policy before you need it
Deciding your return and refund policy in the moment, under the pressure of an unhappy customer message, tends to produce inconsistent decisions from one situation to the next. A clear, written shop policy — decided calmly in advance — gives you something specific to point to and apply consistently.
Respond quickly, even if the answer takes longer
An acknowledgment within a day, even if you need more time to fully resolve the issue, prevents a customer from escalating out of frustration at being ignored. Silence is what usually turns a manageable complaint into a negative public review.
Ask for specifics before offering a resolution
